At Authentic Documents SA, we are committed to providing professional, secure, and reliable document services.
Because our work involves government submissions, processing fees, and third-party costs, certain transactions are non-refundable once they have begun. This Refund & Cancellation Policy explains when refunds may or may not apply.

1. Non-Refundable Services

Once a request has been submitted for processing, the following fees are strictly non-refundable:

  • SAPS Police Clearance submissions
  • SAPS Criminal Record Centre (CRC) fees
  • DIRCO Apostille & Authentication submissions
  • High Court Legalisation submissions
  • Home Affairs applications (Unabridged Certificates, Birth/Marriage, Letters of Non-Impediment, Retention of Citizenship, etc.)
  • Notary Public services and notarial seals
  • Courier fees (local or international)
  • Administrative & service fees

These processes involve government and third-party costs that cannot be reversed once initiated.

2. Cancellation Before Submission

If you cancel before we process or submit your application:

  • A partial refund may be granted.
  • An administration fee will be deducted to cover time spent, consultations, and file creation.

To qualify, cancellation must occur before fingerprints, documents, or forms are submitted to any government department.

3. Processing Delays (No Refunds)

Government departments such as:

  • SAPS CRC
  • DIRCO
  • Department of Home Affairs
  • High Court

may experience delays due to:

  • workload
  • system issues
  • load shedding
  • backlogs
  • office closures
  • verification requests

These delays are beyond our control and do not qualify for refunds.

We continue to follow up and keep you updated until completion.

4. Incorrect or Missing Documents

Refunds cannot be issued if:

  • supplied documents are incorrect or incomplete
  • fingerprints are rejected
  • names/details do not match government records
  • client fails to respond or provide required information

We will assist you with resubmission where possible.

5. Courier Fees

Courier fees are non-refundable, as the courier service charges us immediately when booked.

If delivery fails due to incorrect address or unavailable recipient, re-delivery fees apply.

6. Replacement Certificates

If a certificate is misprinted or incorrect due to government error, we will assist with reprocessing —
but refunds cannot be provided, because the processing fee is non-refundable from the department.

7. How to Request a Refund Review

Once a service request is submitted and payment has been made, our team begins processing immediately. Fees cover administrative work, document preparation, courier coordination, liaison with authorities, and application submission. Because these activities start instantly, certain services may not qualify for full refunds. We always aim to assist fairly and transparently in every case.
